Your phone assistant can learn who's calling (name, company, email and what they need) and save it with each call. You then see it in the Caller column of Calls and can export it as a CSV file to use in a spreadsheet or CRM.
Turn on contact capture
- Go to Assistants and click Configure on your phone assistant.
- Open the Tickets & survey tab.
- Turn on Collect caller details (leads).
The change saves on its own. From the next call on, the assistant asks naturally for the caller's name and what they need, and when it fits, their company and email. It doesn't run through it like a form and it doesn't insist if the caller would rather not say.
If the switch is greyed out, the assistant is inactive and its settings can't be edited. Contact us and we'll help.
Where the details show up
After each call the assistant reviews the conversation and saves what the caller said:
- Name and Company
- Email (click it to write to them)
- Interest: a short note on what they wanted
You'll see them in the Caller column of the call log and in the call's detail panel. Calls without any details show a dash.
To list only these calls, turn on the With contact details filter.
Export to CSV
- In Calls, set the filters you want, for example Last 30 days and one assistant.
- Click the download icon, Export leads (CSV), in the toolbar.
- A file named
leads-YYYY-MM-DD.csvdownloads to your computer.
The file has one row per call, with these columns: Date, Name, Company, Email, Interest and Call ID. Dates use the assistant's time zone.
What the export includes
- Only calls that have contact details.
- Every call that matches your current filters (dates, assistant, who answered, tag, with ticket), across all pages, not just the page you're looking at.
- Read and unread calls alike: the Not reviewed filter is ignored for the export.
- Up to 5,000 calls per file. For a longer history, export in smaller date ranges.
Good to know
- Details are only saved for calls made after you turned the setting on. Older calls aren't filled in.
- The assistant only saves what the caller actually said. If someone gave just a first name, that's all you'll see.
- Accents and "ñ" open correctly in Excel and Google Sheets.
- If the caller asks for a ticket, the assistant asks for their name and email anyway, because the ticket needs them. See Ticket creation.
- The assistant never asks for card numbers, passwords or one-time codes, and stops a caller who starts to read one out.
