The Greeting & voice tab of a phone assistant controls the first thing callers hear: the voice and the welcome message. Go to Assistants, click Configure on your phone assistant and open Greeting & voice.
Choose a voice
- Open the Voice list.
- Click the play button next to a voice to hear a sample.
- Pick the one you like. It saves on its own.
Marin and Cedar are marked Recommended. In Spanish, some voices may sound US-accented, and Marin and Cedar usually sound most natural. Samples are approximate, so make a test call to hear the real thing.
Write the welcome message
The Welcome Message plays during office hours, right after a greeting that matches the time of day ("Good morning", "Good afternoon" or "Good evening").
- Type your message, for example: "Thank you for calling Acme Hosting. How can I help you today?"
- Wait a moment: it saves on its own.
Tips:
- End with your question. The assistant says your message as written and doesn't add its own "How can I help you?". If you want a question, include it.
- Keep it short. One or two sentences. Callers want to get to the point.
- Offer English if you need to. Your assistant greets in its main language (usually Spanish) and switches if the caller speaks English. A sentence like "For English, just keep talking in English." is spoken as written, in English.
If you leave it empty, the assistant introduces itself with its Name (in the Overview tab) and your company name, then asks how it can help.
Write the out-of-hours message
The Out of Hours Message plays instead of the welcome message when someone calls outside your office hours. Use it to set expectations, for example: "Our team is not available right now, but I can help you or open a ticket for you."
- It can only be edited once there's a welcome message.
- It uses the office hours of your phone assistant. If no office hours are set, callers always hear the welcome message. See Office hours.
Good to know
- Both messages are optional.
- The greeting is always in the assistant's main language. If you write it in another language, the assistant translates it faithfully. Edenia sets the main language when we set up your line.
- The assistant never repeats the full greeting later in the call.
- Avoid putting prices or hours in the greeting. Put them in Knowledge so they stay in one place. See Write good business information.
- Changes apply to new calls. Calls already in progress keep the old greeting.
- WhatsApp assistants don't have this tab: they have no voice, and WhatsApp messages work differently.
